Lantum allows you to build custom rolling rota templates which then can be applied to staff on a slot basis
This guide will show you how to:
- Create a RR Template
- Apply and Publish a RR Template to your Rota
- Template Tools (view, edit, duplicate, unpublish, delete)
Create a RR Template:
- Navigate to the 'Rota' section of the platform from the top bar.
- Navigate to the 'Templates' tab heading of your rota from the tabs.
- Click the 'Create template' icon on the right hand side of the screen.
- Complete all required fields to build your new rolling rota template. Please note - Number of weeks refers to the number of weeks in the rolling rota sequence before they repeat (not the number of weeks in the entire rotation)
- The template will open for you to populate with shift types listed above for the number of weeks in the rolling rota. They can be populated into the rolling rota template by selecting a shift type and clicking into the appropriate grid boxes for each shift assignment.
- Once you have populated your shifts into the rolling rota template, select 'Publish' to create the RR Template. A list of the total shifts and hours appears on the right side of the template; a breakdown of the shift types appears below the template in grid form.
- The template will now appear in your list of Templates. Ensure you have the filters applied as appropriate for site, staff time, status, and template type
Apply and Publish a RR Template to your Rota:
- Navigate to the 'Rota' section of the platform from the top bar
- Navigate to the 'Calendar' tab heading of your rota from the tabs
- On the right hand side - select 'Tools' and select 'Templates' from the drop down
- Once you have selected the template you would like to apply, complete the required fields to populate the template with the required location, staff type, appropriate rotation start and end dates, and assigned staff member for each 'Slot' of the RR Template
*Please note - if you have a staff vacancy in your rolling rota, you can leave slots vacant on the assignment. There is also the option to create vacant shifts for any unassigned slots - Select 'Apply template' once all data fields have been populated. A pop-up message will alert you to confirm the template application. Select 'Apply' to apply the RR Template to your rota
- Another message will appear notifying you the template has been uploaded - select 'See applied templates' to view the template in the list of Applied Templates
- Under the list of applied templates, you will see a green checkmark icon indicating that the publishing status is complete
From here, you can select 'View in calendar' to view the applied RR Template in your rota.
Template Tools (view, edit, duplicate, unpublish, delete):
- Navigate to the 'Rota' section of the platform from the top bar
- Navigate to the 'Templates' tab heading of your rota from the tabs
- Identify the required template you wish to edit, duplicate, or delete and click the 3 dots on the right-hand side of this template. Select the desired action (view, edit, duplicate, unpublish, delete)
