What are bulk actions?
Bulk actions were created with the intent of making it easier to assign multiple shifts
How to Enter Bulk Action Mode: there are two ways to enter the bulk action mode:
- Click ‘Multi-Select’ on an individual shift card
- Using a keyboard shortcut,
- Mac OS: Hold Command key, click and drag over shifts
- Microsoft OS: Hold Control key, click and drag over shifts
Bulk Assign Shifts - this allows an RM to assign multiple unpublished shifts to an individual. Both vacant and assigned shifts can be assigned through this action.
- Method 1:
- Click on the individual shift(s) to be duplicated in bulk
- A black bar will appear on the bottom of your screen - click on the contact icon to select a clinician to allocate
- A clinician’s name will be greyed out on this list if they have shifts at conflicting times
- Click ‘Assign’ and ‘Apply Changes’
- You’re done!
- Method 2:
- Click and drag using the Command (Mac OS) or Control (Microsoft OS) to select the shifts to be duplicated
- A black bar will appear on the bottom of your screen - click on the contact icon to select a clinician to allocate
- A clinician’s name will be greyed out on this list if they have shifts at conflicting times
- Click ‘Assign’ and ‘Apply Changes’
- You’re done!
Bulk Delete/Withdraw Shifts
- Difference between ‘Withdraw’ and ‘Delete’ buttons
- On unpublished shifts, there is a trash icon and ‘Delete’ is displayed.
- If an RM uses this function then the shift is deleted both on the frontend (RM web view) and the backend, meaning Lantum no longer hold a record of the shift in FEBE and are unable to view any history of the shift or restore it.
- On published shifts, there is a trash icon and ‘Withdrawn’ copy displayed.
- If an RM uses this function then the shift is deleted on the frontend (RM web view), however we can still view that the shift existed in the backend, it will have a status of ‘Withdrawn’ in FEBE and can be restored if required.
- On unpublished shifts, there is a trash icon and ‘Delete’ is displayed.
- What type of shifts can I bulk delete/withdraw?
- Bulk Delete = Unpublished shifts - both vacant or assigned.
- Bulk Withdraw = Published shifts - only vacant.
- Who can use the bulk delete/withdraw feature?
- All PC and SC Rota Managers/Practice Managers.
- What notifications are sent to Clinicians if bulk delete/withdraw feature is actioned?
- Bulk Delete - as per standard unpublished shift behaviour, no email or mobile notifications are sent to Clinicians.
- Bulk Withdraw - no email or mobile notifications are sent to Clinicians.
- What are future updates that we may implement for this feature?
- Implement Bulk Delete for published assigned shifts.
- Implement email and mobile notifications for Bulk Withdraw (for published vacant shifts with applications against them) to inform users that a shift they had applied for has been cancelled.
Bulk Update Labels
- What type of shifts can I bulk update labels?
- Unpublished shifts - both vacant or assigned.
- Published - both vacant or assigned.
- What logic determines if the bulk update labels button is active on the Bulk Action bar?
- All shifts in the bulk selection must be assigned the same practice to enable bulk label updates.
- How does the checkbox function work on bulk labels?
- There are three states to the label checkbox - see image below. A RM can cycle through the states as needed - For example, if a checkbox is in the second state (line through the checkbox) First click: checkbox will be ticked Second click: checkbox will be unticked Third click: checkbox will have a line through it (i.e. it will be returned to its original state)
