To help support you in filling shifts during the COVID-19 crisis, we’ve introduced COVID-19 Response shifts.
These allow you quickly find clinicians to cover gaps caused by coronavirus and to differentiate shifts where the clinician will be face-to-face with suspected or confirmed COVID-19 patients.
Since we’re rolling our COVID-19 Response feature out on a region-by-region basis, you may not have access to this feature yet. You will receive an email when it’s ready to launch in your area.
In this guide we’ll cover:
- How to create a COVID-19 Response shift using Rota Pro
- How a COVID-19 Response shift is different from a normal shift
- How COVID-19 Response shifts appear to GPs looking for work
Getting started
If you’re new to Lantum or already use Rota Pro
You should click here to skip to the next section.
If you’re currently a Lantum customer and use Rota Classic
During the COVID-19 crisis, you will receive access to Rota Pro, where you can create COVID-19 Response shifts.
Here’s how to access Rota Pro:
When you first log in, you will arrive on your usual sessions page.
To continue to Lantum Rota, look for the purple banner across the top of your calendar, and click the white Create shifts now button.
You’ll be taken to a new page containing information about COVID-19 Response shifts.
Click continue and you’ll be taken to Rota Pro.
This will now be the page you arrive at first when using Lantum. You can always click on the Rota button in the navigation bar to reach this page if that’s not the case.
You’ll still be able to return to the Rota Classic product by clicking on the Shifts button. All shifts are shown on both pages so you don’t need to worry about missing anything.
Should I use Rota Pro to manage all my shifts, not only COVID-19 Response shifts?
Rota Pro has been designed to help you save more time and manage applications more efficiently, so we recommend you explore using Rota Pro to manage your shifts, whether they are COVID-19 Response shifts or not.
If you need guidance on using Rota Pro, visit our FAQ page or speak to your Customer Success Manager.
How to create a COVID-19 Response shift using Rota Pro
To create a shift, hold your mouse over a day on your Rota. You should see a dotted box outline appear. Click within the box to start creating your shift.
You’ll see a panel appear on the right-hand side of the screen. Here, you can add the information you need to create a COVID-19 Response shift.
What is a COVID-19 Response shift?
COVID-19 Response shifts fall into two categories:
- [C-19 Relief] Shifts created due to regular staff members being unable to cover them. This could be due to COVID-19 related sickness, isolation or caring responsibilities, or because of increased patient demand. These shifts don’t require face-to-face contact with suspected or confirmed COVID-19 patients.
- [C-19 Patient] Shifts that involve face-to-face contact with suspected or confirmed COVID-19 patients.
If the shift you’re creating does not fall into either of these categories, click No, this is a normal shift. You can then go on to create a shift as you normally would.
If the shift you’re creating does fall into one of the two categories listed above, click Yes, this is a COVID-19 Response shift.
You will then be asked if clinicians will be face-to-face with suspected or confirmed COVID-19 patients.
If you click No, the shift will be marked as a C-19 Relief shift, covering gaps caused by the coronavirus outbreak, but not requiring face-to-face contact with suspected or confirmed COVID-19 patients.
If you click Yes, the shift will be marked as a C-19 Patient shift. Any GPs applying for or filling the shift will then be aware that this shift will involve seeing confirmed COVID-19 patients face-to-face.
You can then go on to create a shift as you normally would.
Only GPs can be booked into a COVID-19 Response shift
GPs are the only type of staff who can be booked into a COVID-19 Response shift. When you select the staff type for a COVID-19 Response shift, you will see that any other staff types you have set up are greyed out.
COVID-19 Response shifts are displayed differently on your Rota
Once you’ve finished creating a COVID-19 Response shift and clicked Save, you will see the shift appear on your Rota.
It will have a purple badge, identifying whether it is a C-19 Relief or C-19 Patient shift, so you can quickly see which shifts you have created.
To create multiple COVID-19 Response shifts at once from an existing shift, use our Duplicate tool.
You can also edit any existing shifts to change them to COVID-19 Response shifts.
COVID-19 Response shifts are displayed differently to GPs
COVID-19 Response shift tabs and filters
COVID-19 Response shifts are shown more prominently to GPs looking for work.
They’ll appear in a separate section of the Find work page on both the website and mobile app.
The shifts will appear with the same purple badges identifying which category of COVID-19 Response shift they are.
GPs will also be able to filter shifts by these categories, making it easier for them to find the work they want to take on.
Important information for the worker to know
GPs will be able to see the information you selected when creating your shift, such as whether PPE will be provided. This will be clearly shown on the app and website; GPs can also filter available shifts by this information.
This helps GPs understand the type of work they’re taking on, reducing cancellations and increasing the likelihood of your shift being filled.
